Initial situation of the customer
The customer’s e-commerce platform, running on Prestashop and linked to an outdated ERP, was becoming a roadblock to business growth. Problems with uploading content, managing multi-language translations, and configuring offers and pricing were frequent. More critically, the inefficiencies of the ERP in accounting, tax compliance, and inventory
management were causing stagnation at a corporate level, leading them to search for a partner that could resolve these issues and facilitate smoother operations.
The challenge
The customer faced several challenges with their current systems, particularly with the need for automation and streamlining key business processes. These included automating lead generation and assignment, managing mass email campaigns without issues such as spam, creating landing pages for courses and events, and programming social media content. Additionally, they required improvements in handling financial processes like multi-currency transactions and compliance with regional tax regulations.
The success
The Sales module was customized to automate order invoicing based on internal protocols, such as by business line, shipping addresses, and delivery slips. This significantly reduced manual intervention and errors in their billing process.
Our spanish BOP partner restructured their product catalog to include variants, simplifying product management and making it more compatible with their e-commerce operations. This adjustment allowed for a smoother and more organized approach to handling product variations across their
online store.
A bank synchronization was implemented to provide real-time control of bank statements, ensuring reconciled accounting and up-to-date financial records, addressing one of their major pain points with their outdated ERP.
Additionally, the Events module was deployed to manage the sale of tickets for courses and training programs, a feature that needed to be integrated into their website. This enhanced their ability to track and manage event registrations seamlessly within their system.
Specific stock movement routes were configured for orders with complex requirements, such as delivery slips for dropshipping between companies. These routes were synchronized to avoid redundant data entry, streamlining the logistics process.
Our partner integrated their Microsoft services (email and calendar servers) to allow Odoo to serve as their central operations hub, providing greater efficiency in managing communications and schedules.
A new order validation system was introduced to oversee all orders placed by sales representatives. Our BOP partner also customized their user permissions, ensuring that the sales team could only view or edit the records relevant to their role, which improved data security and operational focus.
Their existing e-commerce platform (Prestashop) was synchronized with Odoo to automatically import orders and contacts, transforming Odoo into their primary operations hub. This eliminated the need for manual data entry and ensured a more efficient sales process.
Finally, our spanish partner adapted their accounting tax compliance to meet various invoicing requirements, including DUA imports, OSS (One-Stop Shop) sales, IIS (Immediate Information System) shipments, and SEPA remittances. This comprehensive adjustment ensured that their financial operations were fully compliant with regional tax laws, addressing the critical challenges they faced with their old ERP.
